Running an effective meeting starts with its preparation. In today’s post, we are going to look at the ways that you can prepare to run an effective meeting.

From a general standpoint there are two different types of meetings. The first is an informational exchange between the participants of the meeting. The second is focused on problem solving. in both of these types of meetings participants are asked to engage. In order to run an effective meeting you as the meeting leader, need to facilitate and clarify what is needed from the participants and when.

Before the meeting starts use the following list of questions to help you prepare to run an effective meeting:

What is the problem we are trying to solve?

What solutions have we already tried?

What is the desired outcome of the meeting?

What is the meeting agenda?

What amount of time to have to spend on the meeting?

Why?

Why is this meeting important?

Why is a meeting required for this topic?

Who?

Who is the meeting facilitator?

Who will keep track of time?

Who will keep track of notes during the meeting?

Who should be invited as participants?

When & Where?

When is the best time to meet?

Where should the meeting occur?

How?

How will introductions be made?

How will the issue be presented to the participants?

How will the decision be agreed upon?

 

How will we consider the issue closed in the meeting concluded?
